Airlaid Paper Sourcing: Who Owns Unused Custom Roll Stock?

Table of Contents

Airlaid Paper · B2B procurement guide

For airlaid paper sourcing, agree ownership and financial responsibility for unused custom rolls before the production order is released. Separate the production commitment from later shipment instructions, and specify approved quantities, storage conditions, inventory reporting, release dates and exit options. Paying for a trial does not automatically settle title to the remaining stock.

For converters arranging repeat deliveries of a custom airlaid grade, slit width or packing format. This is a commercial planning checklist; the signed agreement and applicable law determine legal rights.

Reusable procurement data

Separate the production order from the call-off schedule

A forecast, a binding manufacturing order and an instruction to dispatch stock serve different purposes. Write down which document authorizes production and how much material it covers. If the buyer requests a custom width that other customers cannot use, explain how excess quantity will be treated. Avoid assuming the supplier can resell every leftover roll.

In airlaid paper sourcing, a call-off schedule should show requested release quantities and dates, together with the final date for taking the balance. State whether changes need written acceptance. A forecast that shifts every month without a firm commitment transfers uncertainty rather than resolving it.

Define who owns the rolls and who carries each cost

List ownership, payment timing, custody, insurance, storage charges, deterioration risk and disposal authority separately. These responsibilities need not transfer on the same date. Ask the parties’ advisers to review the actual terms where ownership or remedies are material. Do not infer them from an invoice heading.

ICC guidance explains the limited role of Incoterms in the sales contract. A delivery rule should not be used as a substitute for stock-ownership provisions. For airlaid paper sourcing, identify the named delivery place accurately, then document the pre-dispatch inventory arrangement in its own clause.

What belongs in the monthly stock statement?

Use roll identifiers, grade revision, production date, dimensions, quantity basis, location, quality status and balance reserved for the buyer. Keep available stock separate from held or damaged stock. Reconcile dispatches against the same unit of measure used for the commitment; roll count alone may conceal different roll masses or lengths.

The airlaid paper sourcing file should connect each release to the original approval. Ask for the storage conditions agreed for that grade and define when old stock must be reassessed. Do not invent a universal shelf life for all bonded airlaid materials. Packaging condition and material construction affect the review.

Plan an exit while the relationship is working

Define the choices if demand ends: final shipment, agreed conversion, transfer to another approved buyer, supplier repurchase or disposal. Each choice needs permission, cost responsibility and treatment of branded wrapping or proprietary specifications. A general promise to find another buyer is not an exit plan.

Consider a clearly labeled hypothetical case: 12 tonnes are authorized, 8 are dispatched and 1 is held for investigation. The remaining 3 tonnes may be available, but the disputed tonne still needs a written disposition. Airlaid paper sourcing decisions should account for both balances rather than treating the full remainder as saleable inventory.

Put these fields in the RFQ

For airlaid paper sourcing discussions, keep the following fields with the controlled specification rather than scattering them across messages.

  • Custom grade and specification revision
  • Firm quantity versus forecast
  • Call-off schedule and final release date
  • Ownership, custody and storage terms
  • Inventory statement and exit procedure

For related formats, review tissue mother roll specifications before comparing quotations.

Questions buyers also ask

Does advance payment prove ownership?

The effect depends on the agreement and applicable law. Record the intended transfer explicitly and obtain appropriate advice.

Can unchanged appearance approve old rolls?

Appearance alone does not establish converting suitability. Agree the inspection and trial needed for the stored construction.

Sources and scope notes

  1. ICC — Incoterms 2020 questions and answers. Supports: The role and limits of delivery rules within a sales transaction. Limit: It does not decide ownership, liability or remedies in the buyer’s actual contract; obtain transaction-specific advice.
  2. ASQ — Supplier Quality. Supports: A supplier-quality framework for clear requirements, evaluation and improvement. Limit: It supplies no product-specific acceptance threshold and does not verify Sansheng production results.
