Choose what each retained sample is meant to prove
A golden reference records an approved product; a shipment retain represents a production lot. A complaint sample shows material as received or used by the buyer. Do not merge these roles under one unqualified label. Each may help answer a different question when a claim arrives.
Ask the paper towel supplier to identify the sampling point and who collected the material. Record product code, specification revision, lot, date, pack configuration and shipment reference where applicable. An attractive loose sheet from an unknown date should not be used to overrule evidence from a traceable shipment.

How much material should be kept?
